Please note - this user guide is in reference to the Enhanced Audit functionality.

 


Introduction


Select the audit you wish to complete and work your way through the questions.  Add evidence to expand on your response using comments and attachments.  Add action plans as you go to put improvements in place to ensure continuous improvement.

Completing an Audit

 

  • Once you have selected the audit you wish to complete work through the Sections on the Workflow tab.

 

  • Each Section has a due date and a status which will update as you complete the audit.

 

  • Within each section are a series of questions grouped together.  

 

  • Answer each question and add any information as required.  Information may be mandatory for a question, or mandatory based on your answer.
    • Attachments.  Upload documentation evidence to support your answer.
    • Comment. Add a written narrative to support your answer.
    • Create an Action.  Where required create an action off the back of your question.  Useful where you are not able to meet the requirements of the question and wish to put an action in place to improve.

 

  • You may start and stop at any time.  Your answers are saved for later.

 

  • Once you have answered all the questions select Complete to finalise the audit sections.

Adding an Action Plan to a Question

 

  • Every question has the option of adding an action plan.  This creates the action, adds it to your list of Action Plans for the same location/service and links the action to that audit question.

 

  • Select the lightning bolt symbol against the question you would like to create an action for.

  • Enter the details of the action you want to create.  This includes:
    • Person Responsible - this is the individual who must ensure the action is conducted.
    • Location - this is the same location the audit be assigned to and cannot be amended.
    • Priority - select the most appropriate level from low, medium, or high.
    • Due Date - when is the action due to be completed.
    • Pending period - how long before the due date should the action be flagged as pending and appear on the person responsible My Tasks dashboard?
    • Details of the action - what is the action?
    • Tags - select from a list of tags to categories the type of action.
    • Send email notification - this emails the person responsible to let them know about the action created for them.
  • Select save.

 

  • Our lightning bolt symbol will now have a number against it to signify the number of actions created.

  • When viewing an audit, you will also see the Action Plans you have created under the Action Plan tab.

Action Plan Workflow Step

 

  • Once you have answered your audit questions you may see an additional step appear on your Workflow call ‘Action Plan’.  If so, you will be required to ensure there is an action assigned to each of your failed audit questions before completing the step.

 

 

Audit History Tab

 

  • Within each audit in Radar Healthcare you can view a full audit trail of activity within your audits via the history tab a full history of activity is automatically recorded. This helps to ensure the integrity of the trail for each and every audit. Every change that takes place is captured along with a timestamp and a record of who made the change.

 

  • This tracks activity such as when the audit was started, reassigned, completed and reopened, as well as a record of email notifications.

Completing an Audit Offline

 

  • Start an audit online and continue working through the audit even if you lose the internet.

 

  • When back online all answers, comments, attachments, and actions will upload.

 

  • Regain the internet to complete the audit and submit your answers.  


There are key factors to consider:

 

  • All information stores offline for 48 hours.  A notification will appear when you lose access to the internet.  And again, once back online and your information has been uploaded.  If you do not gain the internet within that 48-hour period, your data will be deleted.

 

  • It isn't possible to confirm you have completed the audit when offline.  We recommend regaining the internet before finishing your audit.  You can close your internet browser but please ensure you log back in and open the audit when online within the 48-hour period.

 

  • If someone abandons the audit, or the audit is reassigned to someone else, whilst you are completing it offline, your data will be deleted, and you will be notified.  Only the information from the person assigned to the audit is accepted.

 

  • When creating actions offline it will default to you as the person responsible for the action.  

 

  • Only image files can be uploaded offline.  The image may be resized to support offline auditing.

 


FAQs


Can I do an audit which isn't assigned to me directly?

 

  • Yes.  If the audit is assigned to your role, you will be able to reassign it to yourself to complete.  Or if you have permission to reassign audits you would be able to reassign them to yourself.  Please speak to your system administrator if you do not have these options.


Can I complete this on a mobile phone or tablet?

 

  • Yes, it is fully compatible with mobile phones and tablets.  


Will speech-to-text work on the comments?

 

  • Yes, you can use your device's dictation function to all comments to your audit using speech-to-text.
