Digital Consent v8 Frequently Asked Questions

This is a living document that we'll keep updating as more questions come in during the v8 rollout. If you can't find the answer you're looking for, let us know using the details at the end of this page.

Overview

The new consent form flow makes it easier to create consent forms for any medical procedure. It includes a new procedure search using SNOMED CT UK, separates procedure selection from the EIDO Library, improves favourites, simplifies Extra Procedures, offers more flexible BRAN options, and lets you attach a wider range of patient information.


Procedure search

Why do some procedure names look different?

Procedure names now come from the UK SNOMED CT database. These are the clinical names used across the NHS, so they may be different from the names you were used to seeing.

To make things easier for patients, consent forms show both the clinical name and a patient-friendly name, which you can edit before sending.

Can I add a procedure if there isn't an EIDO article?

Yes. You can now create a consent form for any procedure found in the SNOMED CT search, whether or not an EIDO patient information article is available.

How can I quickly find procedures I use regularly?

Click the star icon to add a procedure to your favourites. Your favourites appear at the top of the search results, making them quicker to find next time.


BRAN and EIDO content

When is EIDO content added automatically?

If a procedure has a linked EIDO patient information article, the recommended Benefits, Risks and Alternatives (BRAN) are selected automatically.

What if there isn't any EIDO content?

You can switch to Custom BRAN and choose from specialty-specific content. You can also edit or add your own text where needed.

Can I choose between Recommended BRAN and Custom BRAN?

Yes. For every procedure you can choose either:

  • Recommended BRAN, using EIDO's procedure-specific content (where available)

  • Custom BRAN, using specialty content and your own wording


Extra Procedures

What are Extra Procedures?

Extra Procedures let you add related procedures, such as a biopsy or polyp removal, while you're selecting procedures. They're now part of the main consent form flow, so there's no separate step.

Can I edit or remove an Extra Procedure?

Yes. You can edit or remove Extra Procedures before sending the consent form. Any changes will be reflected in the preview and the final PDF.


Patient information

What information can I send to patients?

You can include any combination of:

  • EIDO patient information articles

  • Local PDF documents

  • External links, such as appointment guidance or recovery information

Is there a limit on attachments?

There is no limit to the number of EIDO articles you can include.

Standard upload limits apply to PDF files. If a file won't upload, try reducing its size or contact Support.


Previewing and sending

Can I preview the consent form before sending it?

Yes. The summary screen includes a PDF preview so you can review the completed consent form before sending it.

How do I start the consent process?

From the summary screen, select Start Consent.

Will the correct adult or child form be selected automatically?

Yes. The system chooses the correct form based on the patient's age. If needed, you can change the selection before sending.


Procedure names and Key Benefit

Why are there two procedure names?

Each consent form displays:

  • the clinical SNOMED CT procedure name

  • a patient-friendly procedure name

The patient-friendly name can be edited for each consent form.

What is the Key Benefit?

The Key Benefit explains the main reason for the procedure.

Where available, it's provided by the EIDO editorial team, but you can edit it to suit the individual patient.


Responsible Clinician and permissions

Who is set as the Responsible Clinician?

By default, the current clinician creating the consent form is selected as the Responsible Clinician. You can change this if required. If the user is not automatically selected, they may not have a GMC number in their profile. To add a GMC number and make them a clinician, goto My Profile in the menu. If there is no entry against the GMC number, click EDIT to add one. The user should now be auto-selected as responsible clinician. 

Can I control who can access consent forms?

Yes. Your organisation's standard permissions still apply. If you need changes to roles or access levels, log a request via your internal system administrator.


Existing consent forms

Will my existing consent forms change?

No. Existing consent records stay exactly as they are. The new experience only applies when creating new consent forms.

Do I need to do anything to keep using EIDO content?

No. EIDO content will continue to be available wherever it's linked to a procedure.

You may want to review your favourites and commonly used procedures after upgrading.


Troubleshooting

I can't find a procedure I was expecting.

Try searching with a different clinical term or a broader keyword.

If you still can't find it, raise a support ticket and let us know which procedure you're looking for.

My PDF won't upload or the preview isn't working.

Refresh the page and try again.

If the problem continues, clear your browser cache or try another browser. If you're still having issues, send Support a screenshot along with the steps you followed.

I sent the wrong consent form or patient information.

If possible, edit the consent record and resend the correct version. Record the change in the patient's notes, and contact your local governance team if needed.


Release and testing

When will the new consent form flow be available?

Your organisation will receive the update according to its planned release schedule. Check the Community release announcements or speak to your account team for your rollout date.

Can I test it before it goes live?

If your organisation has a Sandbox environment, you can already test there.

Can I save my consent form to use again?

The next release of Digital Consent will include the ability to save template consent forms, to speed up your most frequently used pathways. 


Feedback and support

How do I report a bug or request a change?

Raise a support ticket using your normal support process or through the Community help centre.

Including screenshots and the steps you followed will help us investigate more quickly.

Who should I contact about patient-friendly procedure names or Key Benefits?

For changes to procedure names, key benefits, consent specialties or if you think an EIDO article should be linked to a specific procedure, raise a support ticket.

For organisation-specific naming preferences, edit the patient-friendly name when creating the consent form.
